What personal data we collect and why we collect it

We do not as such collect any data from the website for use in our every day business. The website utilises a CMS (Content Management System ) which is designed to manage all website development and traffic automatically.

In plain terms, the system manages the content automatically. It does not send details to any outside source. The website software, i.e. the CMS, the theme and plugins, require frequent updating and where the option is given to share usage data, MW Fire Ltd have selected the option not to.

There is no functionality, need or desire to collect outside data for our analysis or to use otherwise. There are however inherent uses of data for the website to function, which are collected and stored by the CMS, these include the following.

Personal data is not just created by a user’s interactions with the website. Personal data is also generated from technical processes such as contact forms, comments, cookies, analytics, and third-party embeds.

It is our responsibility to provide a comprehensive privacy policy that reflects all legal requirements on privacy, and to keep it current and accurate. In this regard the items above are further expanded on below.

 

Analytics & Security

To list each type, brand or version of related software that manages the website would leave it vulnerable to exploitation from outside, especially if software has not been updated immediately following the discovery of an exploit.

By default the website software does not collect any personal data about visitors, or any analytical data and only collects the data shown on the User Profile screen from registered users.

Visitor comments may be checked through an automated spam detection service.

  

Login details

However some plugins do collect personal data in particular for forms and logins. On this website there is software to handle the login process, to handle security features such as brute force attacks and spam email. These programs may collect an URL address for future references or for analytical purposes of website usage.

If you request a password reset, your IP address will be included in the reset email.

The CMS software sends a notification email to MW Fire Ltd and possibly the webmaster, to notify that a new user has registered.

— How long we retain your data

For users that register on our website the personal information that may be provided is stored in a user profile. A user can edit or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

— What rights you have over your data

If you are a registered user, or have left comments, you can request to receive an exported file of the personal data held about you. You can also request that we erase any personal data held about you. This does not include any data we may be obliged to keep for legal, or security purposes.

 

Cookies

As mentioned at the start, MW Fire Ltd does not set out to collect data for the purposes of running the business. There is no need or desire to collect information other than that which is used by the website software to manage the operation of the website.

Cookies are tiny files that are placed in your browser by a website to store relevant information so that the next time you visit the site, the website already has relevant information.

It does not mean cookies are necessary in order to view the website. Where often a new website goes up, the browser declares several cookies, are present, these are generated by the website software mainly, initially, for security purposes.

Examples:

If you visit our login page, a temporary cookie is set to determine if the browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, several cookies are set to save login information and the screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select ‘Remember Me’, your login will persist for two weeks. If you log out of your account, the login cookies are removed.

If you leave a comment you may opt in to saving your name, email address and website details. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you edit or publish an article, a cookie is set. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

 

Comments

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

When visitors leave comments on the website we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

The CMS software sends a notification email to MW Fire Ltd and possibly the webmaster, to notify that a comment has been made.

 

Contact forms

The CMS software does not include a contact form by default. The contact forms used on this website are part of the theme used. If you use a contact form, the information provided sent to MW Fire Ltd for action. There is no need or desire for MW Fire Ltd to store the information received except for customer service purposes only.

MW Fire Ltd do not use the information submitted for marketing purposes.

 

Media submissions

In general, websites use cookies, contact forms, embed additional third-party tracking, to collect data about you. They also monitor your interaction with that embedded content, and track your interaction with the embedded content if you are a registered user logged in to a website.

— Embedded content from other websites

Posts and articles on this website may include embedded content such as videos, images, and other media content. Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

— Using media for publication

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. Use software to wipe your images clean of EXIF data before uploading.

 

what we do with your data

Operationally, nothing. All data for the website is generated by the website management software and security plugins. The nature of the CMS means that it looks after the whole website running process. This means storing some information on a database located on the server and managed and secured by the operational platform (e.g. cpanel).

Where contact is made through a contact form, the email is not stored on the CMS but sent by ‘mailto’ to the MW Fire Ltd administration. Office staff are trained in the appropriate handling of data protection.

MW Fire Ltd accepts responsibility for the safe keeping and privacy of third party data in relation to national and international obligations.

In the main the security is firstly in the website setup, protecting the data and the website from exploitation by employing security features such as spam detection. Secondly good housekeeping to ensure the CMS software and plugins are kept up to date and optimal.
